Group Arrivals: Airport Transfers for Weddings, Events and Golf Trips in Marrakech

Marrakech has become one of the world's favourite destinations for weddings, corporate events, incentive trips and golf holidays. Spectacular venues in the Palmeraie, the Agafay desert and the foothills of the Atlas, excellent hotels and year-round sunshine make it an easy choice. But behind every successful event there's a logistical puzzle — and airport transfers are often the first piece. Here's how to get it right.

The challenge: many guests, many flights

A wedding with 80 guests rarely means 80 people on the same plane. More often it means fifteen different flights over two or three days, from London, Paris, Madrid, Brussels, New York and Dubai, some landing in Marrakech, a few in Casablanca. Every guest wants to be welcomed, nobody wants to wait two hours at the airport, and the hosts are busy with a hundred other details.

Step 1: Build a clear arrival list

Everything starts with a simple spreadsheet. For each guest or family, collect:

  • full names and number of passengers,
  • flight number, date and scheduled arrival time,
  • arrival airport (Marrakech, Casablanca or Agadir),
  • accommodation (hotel, riad, villa or venue),
  • luggage, child seats, mobility needs,
  • a mobile number with WhatsApp.

Send it to us as early as possible and keep it updated. We'll return a transfer schedule showing which guests travel together, in which vehicle and at what time.

Step 2: Group flights intelligently

Waiting 20 minutes for another flight to land is fine; waiting two hours isn't. We group guests whose flights land within a reasonable window and who are going to the same area. Others travel individually in a comfort van. The result is a balance between guest comfort and budget — usually far cheaper than one taxi per family, and much better organised.

Step 3: Choose the right vehicles

For groups, the fleet matters:

  • Comfort vans (up to 7 passengers) for families and small groups.
  • VIP Ford Tourneo Custom (up to 6) for the couple, parents of the bride and groom, VIPs or speakers.
  • VIP minibus (up to 17) for larger groups, with a dedicated luggage compartment.

Not sure? Compare in choosing between a van and a minibus.

Step 4: Branded welcome

A personalised sign makes a strong first impression: "Welcome to Sarah & Karim's Wedding" or your company logo. Some hosts add a small welcome bag in each vehicle with water, a map, a local SIM card or the event programme. We're happy to place these items in the vehicles.

Step 5: Shuttles during the event

Airport transfers are only the beginning. Most events also need:

  • Shuttles between hotels and the venue — especially for desert or Palmeraie venues outside the city.
  • Evening returns after dinner or the party, sometimes in several waves.
  • Excursions for guests on free days: Agafay, Ourika, Essaouira or the Atlas.
  • Departure transfers back to the airport, often on the same morning for many guests.

Our coordinator prepares a run sheet with every movement and stays in touch with your planner or host on WhatsApp throughout. Discover our van hire with driver and private driver services.

Golf groups

Marrakech has more than a dozen golf courses — Royal Golf, Amelkis, Al Maaden, Assoufid, Noria, Montgomerie, PalmGolf and more. Golf groups need vehicles with room for bulky golf bags, early tee-time departures and transfers between hotel, courses and restaurants. A minibus carries up to 12 golfers with their bags comfortably; for smaller groups, a van and a trailer-free luggage area does the job.

Corporate events and incentives

For seminars, conferences and incentive trips, punctuality and presentation matter. Our drivers are smartly dressed, discreet and briefed on each schedule. We can provide a single invoice for all transport, and adapt in real time to programme changes. Read more about our corporate chauffeur service.

On arrival day: live coordination

On the big arrival days, a coordinator follows every flight in real time. Each driver receives the names of his passengers, their flight and the destination, and confirms on WhatsApp as soon as guests are on board. If a flight is delayed, the schedule is reshuffled immediately so no one waits needlessly. Hosts and planners receive short updates — "Group 3 picked up, arriving at the hotel in 25 minutes" — so they can welcome guests personally without spending the day at the airport.

When to book

For groups, book as early as possible:

  • Weddings and large events: 2 to 3 months before, especially in spring (March–May) and autumn (September–November).
  • Golf groups and incentives: 4 to 6 weeks before.
  • Final guest list: about 10 days before arrival, with flight numbers.

Why work with one transport partner

Using a single provider for all your group's movements means one point of contact, consistent vehicles, drivers who know the programme and a clear budget. It also means that when something changes — a delayed flight, a guest arriving a day later, a shuttle running late — someone is already handling it.
